What does HirayaVA Collective do?
HirayaVA Collective helps growing businesses access dependable Filipino virtual professionals and practical digital support. Services include virtual assistant matching, website development, custom business systems, lead generation, appointment setting, automation and digital marketing.
What kinds of businesses does HirayaVA support?

The discovery process helps us understand the specific industry, workflow and customer expectations involved.
Virtual Assistant Matching
How does the virtual assistant matching process work?
We begin with a discovery conversation and role brief. We clarify the responsibilities, required experience, tools, schedule, communication preferences and outcomes expected from the role. We then screen and recommend candidates whose background and working style align with those needs.
How do you match a business with the right VA?
Matching is based on more than a list of tasks. We consider relevant experience, skill level, communication style, availability, time-zone coverage, software familiarity, role complexity and the client’s preferred way of working.
What types of virtual assistant roles are available?
Common roles include executive assistants, administrative assistants, customer support representatives, operations assistants, lead generation specialists, appointment setters, social media assistants, marketing support, real estate support, e-commerce support, bookkeeping support and other specialized roles.
Can we interview the recommended VA before deciding?
Yes. Clients can interview recommended candidates, ask role-specific questions and assess communication and working style before making a decision.
How long does the matching process usually take?
The timeline depends on the role, schedule and level of specialization. For many roles, recommendations can begin within several business days after the role brief is confirmed. Highly specialized requirements may take longer, and we will provide a realistic timeline before the search begins.
What happens if the first VA match is not the right fit?
Tell us as early as possible so we can understand the concern. We will review whether the issue relates to expectations, onboarding, skills, communication or working style, then support a fair improvement plan or begin rematching when appropriate.
Can I request specialized experience?
Yes. You can request experience with a particular industry, responsibility, software platform, sales process or customer environment. Specialized requirements may affect the search timeline and pricing.
Schedules, Tools and Onboarding
Can virtual assistants work part-time or full-time?
Yes. Depending on the role and candidate availability, support may be arranged on a part-time, full-time or tailored schedule.
What work schedules and time zones are available?
Schedules are agreed according to the client’s operating hours and the VA’s availability. Filipino professionals can support U.S., Australian and other international time zones, including overlapping or dedicated shifts where appropriate.
What tools and systems can the VAs use?
Experience varies by candidate, but common tools include Google Workspace, Microsoft 365, CRM platforms, project management tools, email and calendar systems, communication platforms, social media tools, customer support software and industry-specific applications.
How does onboarding work?
Before the start date, we help clarify responsibilities, access requirements, communication channels, reporting expectations and initial priorities. Clients should provide role documentation, secure access, training on company-specific processes and a clear point of contact.
How are communication and performance managed?
The client and VA agree on communication channels, working hours, reporting frequency and measurable expectations. We encourage regular check-ins, clear priorities and timely feedback. HirayaVA remains available when support or role adjustments are needed.
Pricing, Terms and Support
How is pricing determined?
Pricing depends on the role, required experience, responsibilities, schedule, number of hours and any specialized skills. After the discovery call and role scoping, we provide a clear recommendation and pricing structure.
Are long-term contracts required?
Engagement terms depend on the service and support model. Any minimum term, notice period or renewal arrangement is explained clearly before the engagement begins. We aim to offer a structure that supports continuity without creating unnecessary surprises.
How are replacements or rematching handled?
If a placement needs to change, we review the circumstances, current expectations and transition needs. We then support a replacement or rematching process based on the agreed engagement terms.
Is ongoing support available after placement?
Yes. HirayaVA Collective remains available after placement to support communication, role clarification, onboarding concerns, performance discussions and rematching when needed.
Privacy and Getting Started
How are data privacy and confidentiality protected?
We encourage written confidentiality expectations, role-based access, secure password sharing, multi-factor authentication and the principle of giving access only to the tools and information required for the role. Clients should maintain their own security policies and revoke access promptly when responsibilities change.
Can a client request an NDA?
Yes. Confidentiality and non-disclosure requirements can be discussed before placement. Clients may use their own reviewed agreement or ask for confidentiality expectations to be included in the engagement documentation.
How do I get started?
Book a discovery call or submit an inquiry through the website. We will discuss your goals, current workload, preferred schedule, required experience and the result you want from the role. From there, we will recommend the most practical next step.
